We are currently recruiting experienced EACOP Integrated Management system -EIMS Coordinator on behalf of a major international Oil Company
Location: Tanzania Onshore

MISSIONS / JOB DIMENSIONS
The East African Crude Oil Pipeline (EACOP) project is a major regional infrastructure project (Capex: 4.1 G$, OPEX:>2.5G$ over 25 years) between Uganda and Tanzania coast, opening a new value corridor between the two countries. The EACOP project development comprises of the detailed engineering, construction, operation and maintenance of the corresponding facilities.
Part of the development of EACOP includes the establishment of the company as a standalone entity. This will include the development of a comprehensive company management system called the EACOP Integrated Management system or EIMS. This role is integral in the ongoing development of the EIMS through document control, administrative support, coaching and mentoring.
ACTIVITIES
• With the EIMS Steering committee, define, develop, implement and maintain the documentation management plan for the EIMS.
• To implement and maintain the EIMS Document Governance Standard to ensure efficient management for the introduction of new documents into the EIMS, the timely update of existing documents, and/or the removal of documents no longer necessary.
• To maintain the EIMS document road map.
• To prepare the reporting presentations and dashboard for the quarterly EIMS steering committee meetings
• To actively participate in the EIMS Documentation Control and Management process including training of personnel and promotion of the EIMS to all users.
• To perform constant analysis of produced documentation to check for conformity and/or consistency with company standards including style, format, numbering, graphic charts, used symbols and all others aspect related to document quality.
• To maintain the EIMS SharePoint site.
• To coordinate with EACOP Project for selecting which PMT documents will be housed in the EIMS and which will remain within the legacy Project document management system. This includes the timely removal of documents as necessary to prevent duplication.
• To provide assistance to the whole EACOP team for all matters related to documentation management activities.
• Respect requirements for document confidentiality.
• To gather ‘lessons learnt’ wrt to Documentation Management matters and provide feedback to other EACOP entities as required.
CONTEXT AND ENVIRONMENT
The job holder takes direction from the General Manager, the Deputy Managing Director and works closely with the EIMS Steering Committee members. The EACOP corporate entity is in its developmental phase. Accordingly, systems and processes will be going through rapid development and periodic updates or revamps. The successful candidate must be able to keep a keen eye to the implementation of the EIMS plan as set, but look for opportunities to adapt and improve on the fly. This role will have contact with personnel from every level in the organization, and from time to time with our partners. As such, communication and presentation confidence are essential. The job holder is also accountable for demonstrating an exemplary behaviour with regard to HSE rules & requirements and for implementing and controlling HSE rules for all planning related activities.
ACCOUNTABILITIES
• To support the implementation of a complete and robust company management system
• To ensure consistency and conformity of EACOP documentation.
• To provide the EIMS Steering Committee and company personnel with timely information that effectively identifies the early identification of deviation, delay with the documentation issuance and implementation of remediation plans where required.
• To actively promote the use of the EIMS
QUALIFICATIONS AND REQUIRED EXPERIENCE
Professional experience:
Senior management system leader or equivalent with sound knowledge in documentation management. Minimum 10 years of experience in Oil & Gas Industry and minimum 7 years with similar large scale projects & environment.
Technical competencies:
Expertise in SharePoint system development and maintenance, formatting documents, importing graphics. Highly organized with effective communication, reporting and Office 365 skills are essential. Specific expertise in working with Excel, PowerPoint, Word documents is mandatory. Power BI, Six Sigma-LEAN and other efficiency models highly desirable.
Behavioral competencies: Ability to work in a multi-cultural business setting and excellent interpersonal and communication skills essential.
Fluent in English, (speaking, writing)
This job will be on Resident basis
