JOB DETAILS:
Position: Sponsorship Officer (1 Post)
Report to: Senior Sponsorship Officer Location: Mwanza Contract Period: 1 year (renewable during project period, contract extension is subject to funding availability, employee performance or/and mutual agreement)

Duties and Responsibilities
A. Project Planning and Implementation
• Managing and monitoring all registered children at Community Development Projects and Facilitate/link the communication between sponsor and a child through various reports and letters (Annual Progressive Report (APR), Annual Child Letter (ACL) & Gift Money (GM)/Gift Letter (GL)/ Card
• Managing the application of My Child Management System (CMS) program) through uploading and screening children’s data for Annual Child Letter-ACL, Annual Progress report-APR, Gift Money and Letter- GML, Child Intake Findings-CIF & Home Visiting activities.
• Working closely with CDP coordinator to make sure timely and successful implementation of all sponsorship management activities Gift Money (GM)/Gift Letter (GL)/ Card, APR, ACL and Home visiting.
• Timely preparation and submission of all activities plan, (Including direct service as well), necessary materials, Budget Requests and reports before and after the implementation of the activities.
• Participate in the preparation of bi-annual and annual Plan of Action (POA) for sponsorship activities execution.
• The Operation Officer will assume a role in planning, implementing, and supervising mass drug administrations in collaboration with the Ministry of Health and Buchosa District Council, midline and endline surveys for schools and communities, and conducting awareness campaigns for primary school students and communities. And any other duties as assigned by the supervisor.
B. M &E, Reporting and Documentation
• Regular data collection and filing documents, and updating database of sponsored and non-sponsored children particulars in the My Child System.
• Facilitate effective monitoring of registered children through school attendance reports, my child system and home visiting.
• Checking children who are in need of emergency services and reporting to sponsorship manager for close follow up and necessary support.
• Conduct situation Analysis before and after implementation of the activity together with cross checking children lists and sharing with beneficiaries.
• Support other Operation activities in Chifunfu and Kome CDPs.
C. Partnership and Networking
• Cooperate with team members on preparing proposals and reports of Child
Intake/Annual Progressive Report activities
• Mentorship and coaching to Community Development Committee (CDC) members and project teachers on identified gaps for Chifunfu and Kome CDP.
• Developing and or strengthening team work spirit, and demonstrating good performance.
• Perform any other related tasks as assigned by the supervisor.
D. Communication and Reporting
• Ensure all sponsorship management activities’ (GM/GL/C, ACL, APR, Dropout, Home Visit, Provided Service) reports are produced and submitted to senior sponsorship officer.
• Follow ups and manage sponsorship operations in communication with sponsorship service department at Head Quarter (HQ)
• Report and manage the best-case stories and produced the reports for all cases identified

Competencies and Qualification
Bachelor’s degree in Social Science, Community Development and related field.
• At least 3 years’ experience in Social Work & Child sponsorship programs.
• Prior experience with Sponsorship programs/Child Management System (My Child) will be an added advantage.
• Proficiency in official reports, proposals and communication skills
• Ability to work with the community at the grassroots level
• Collaboration and team building skills, problem solving skill
• Well-organized, resourceful with good planning and problem-solving abilities. A team player, flexible, quick-thinking and able to work well under pressure.
• Competence in Ms Office applications (Ms. word, Excel, and PowerPoint)
• Commitment to the Organization vision, mission, values and goals.
